Chapter 12 Test Your Knowledge

1) What skills do oral presentations give you the opportunity to practice and demonstrate?

Oral presentations give you the opportunity to practice your public speaking as well as your presenting of information. It also gives you the opportunity to plan your ideas and information out beforehand in order for you to have a clean and informative presentation.

2) What three goals should you accomplish during the introduction of an oral presentation?

You should try to encourage the audience's interest in your topic, build your own credibility and give your audience a preview of your message.

3) What techniques can you use to get an audience's attention during your introduction?

To get your audience's attention, you can unite people around a common goal, tell a story, pass around a sample, ask a question, state a startling statistic, or use humor carefully.

4) What three tasks should you accomplish in the close of your presentation?

You should restate your main points, describe the next steps, and you should end it on a strong note.


5) What steps can you take to ensure success with online presentations?

Consider sending preview study materials ahead of time, keep your presentation as simple as possible, ask for feedback frequently, consider the viewing experience from the audience members' point of view, make sure your audience can receive the sort of content you intend to use, allow plenty of time to get connected and familiar with the screen they're using.

Chapter 9 Test Your Knowledge

1. What is the purpose of my message? How knowledgeable is the audience in regards to the message? How long should the be message be in order to maintain a focused audience? What is the likely outcome of my message being stated?

2. Demographics and psychographics play an important role in determining an analysis of the audience. It is important to understand the audience's background, level of education, motivation level and willingness to implement the actions suggested. It can make delivering the message more meaningful and more efficient if you can nail the demographics and psychographics of your audience before delivering the message.

3. Emotional appeals differ from logical appeals in that they are geared towards people's feelings and how sympathetic they are to a certain person/topic. Logical appeals are focused towards how people reason. If used properly together, it will be easier to get a message across that is both emotionally and logically appealing to the audience.

4. Three types of reasoning you can use in logical appeals are analogy, induction and deduction.

5. The AIDA model stands for Attention, Interest, Desire and Action. They represent the four stages through which an effective message should be communicated to the audience. Some limitations associated with the AIDA model include the speaker talking at the audience instead of with them and it only focuses on one-time events and not long-term relationships.

Value of E-mail: There are many things to consider regarding sending an e-mail. Whether its to your co-workers or superiors, you have to consider their time when you send out an e-mail. You should ask yourself whether e-mail is the correct medium for your information as a first step. The next step should be to figure out if it should be sent as a personal e-mail or a section/company wide memorandum. The final step should be the length of the e-mail which should be determined by

Timeliness of replies: The timing of your replies can say a great deal about you in the business world. People are aware of the fact that e-mail is almost always available to everyone and therefore the amount of time between e-mails should be considered important. For high-priority e-mails, the lag between reply times should be very short, especially if it is between yourself and a superior. The time it takes to reply to your co-workers should be given the next highest priority and should also be given the consideration of how important the content of the message is. Even for low-priority e-mails, there should not be a significant lapse of time because it can ultimately show that you don't care.

Sentence Length: This topic has a lot to do with the value of e-mails. Once again, you must consider the time people will put into reading your e-mail and/or post. Being efficient with your message can mean the difference between keeping the attention of your reader and losing it with just a quick glance at the length of the message. If you get your information across in as few sentences as possible and still manage to keep it thorough, the better. The whole idea behind e-mails in the first place is to save time, so if you can have a few short sentences that are straight to the point of your message, it will make your message much easier to read and get across to people.

Audience Profile

8) A promotional message on your company's e-retailing website, announcing a temporary price reduction on HD tv sets.
- The audience is anyone interested in buying an HD tv. It might also include anyone looking for a tv in general because a price reduction might gather interest in an HD set.
- The audience's general attitude is neutral because they are looking for deals on tv's. Tv's are expensive so they are going to approach everything with a neutral attitude until they find a great deal.
- My audience needs to know how much the price reduction is going to be for, where they can expect to find it, and how fast it can be delivered online.

9) An advertisement for peanut butter.
- The audience is for anyone, in general. They may or may not be looking to buy peanut butter.
- The audience's attitude towards peanut butter is positive because people like peanut butter. If they are allergic or do not like it, then it will be negative.
- My audience needs to know; maybe the nutritional information about peanut butter, where to find it (stores), and about how much they can expect to purchase it for.
